ClockWork Pro ("we," "our," or "us") operates the ClockWork Pro mobile application and web dashboard (the "Service"). This Privacy Policy explains how we collect, use, and protect your information when you use our Service.

1. Information We Collect

Account Information: When your employer creates your account, we collect your name, email address, phone number (optional), role, department, and hourly rate as provided by your employer.

Time & Attendance Data: Clock-in and clock-out times, break durations, shift schedules, timecard approvals, and time-off requests.

Location Data: When you clock in or clock out using the mobile app, we collect your GPS coordinates solely to verify you are at your assigned work location (geofence verification). We do not continuously track your location. Location data is only collected at the moment of a clock event and only when location permissions are granted.

Device Information: Device type, operating system, push notification tokens (for sending you schedule updates and reminders), and app version.

Profile Photos: If you or your employer upload a profile photo, we store it securely.

2. How We Use Your Information

We use the information we collect to:

• Provide employee scheduling, time tracking, and workforce management services
• Verify clock-in/clock-out location via GPS geofencing
• Calculate hours worked, overtime, and payroll estimates
• Send push notifications about schedule changes, timecard approvals, shift swaps, and reminders
• Generate reports and analytics for employers
• Maintain audit logs for compliance purposes
• Improve and maintain the Service

3. How We Store Your Information

Your data is stored securely using Supabase, which runs on Amazon Web Services (AWS) infrastructure. All data is encrypted in transit (TLS/SSL) and at rest. We use Row Level Security (RLS) policies to ensure employees can only access their own records, while administrators can access organizational data.

4. Information Sharing

We do not sell, rent, or trade your personal information. We share data only in the following circumstances:

• With your employer: Admins and authorized managers at your organization can view your time records, schedules, and work-related data as part of normal business operations.
• Service providers: We use Supabase (database and authentication), Expo (push notifications), and standard cloud infrastructure providers to operate the Service.
• Legal requirements: We may disclose information if required by law, court order, or government regulation.

5. Location Data

ClockWork Pro uses GPS location data only for geofence verification when employees clock in or clock out. Specifically:

• Location is checked at the moment of a clock event only
• We do not track your location in the background or between clock events
• Location data is stored as part of the time log record
• You can deny location permissions, but your employer may require it for clock-in verification

6. Push Notifications

We send push notifications for schedule updates, timecard approvals/rejections, shift swap requests, missed clock-out reminders, and team messages. You can disable notifications in your device settings at any time.

7. Cookies and Web Analytics

Our public website and web dashboard use Google Ads conversion tracking (gtag.js) to measure the effectiveness of our advertising and understand how visitors arrive at our site. This involves a small number of cookies set by Google, which may collect your IP address, browser type, referring URL, and pages visited.

This tracking applies only to the ClockWork Pro website and web dashboard. The ClockWork Pro mobile app does not use Google Ads, Google Analytics, or any third-party analytics or advertising SDKs.

You can opt out of Google's advertising cookies at adssettings.google.com or by using browser tools that block third-party cookies.

8. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If your employer deactivates your account, your records are preserved for their business needs. If your employer permanently deletes your account, all associated data (time logs, shifts, messages, time-off requests) is permanently removed from our systems.

9. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to your employer's retention needs)
• Opt out of push notifications
• Withdraw consent for location tracking

To exercise these rights, contact your employer's ClockWork Pro administrator or email us directly.

10. Children's Privacy

ClockWork Pro is a workforce management tool intended for use by employers and their employees. We do not knowingly collect information from children under 16. If we learn we have collected data from a child under 16, we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
